The Problem

Where document and data workflows break down

Most organizations do not have a forms problem. They have a problem at the seams — between the form, the CRM record, the document, and the person who has to approve it. Every one of those seams is a place where data is retyped or work stalls.

The same data is keyed in twice

A client fills in a form, then someone copies those answers into Salesforce, then someone retypes them again into a contract or proposal. Each pass is a chance to introduce an error nobody catches until the document is already out.

Documents are built by hand, one at a time

Proposals, agreements, quotes and disclosure packets get assembled by copying last quarter's file and editing the names. It works until volume rises, and then turnaround becomes the constraint on how fast the business can close.

Template sprawl quietly replaces standards

Teams save their own versions. Six months on, nobody can say which clause set is current, which logo is approved, or which version legal actually signed off — and the answer differs by region and by rep.

Approvals live in an inbox

A document waits on a manager who is travelling. There is no queue, no escalation, and no record of who approved what — so the honest answer to "where is it?" is a search through email threads.

Nothing links the document back to the record

The signed agreement ends up in a shared drive, the submission data in a spreadsheet, and the Salesforce record has neither. Renewals, audits and disputes then require reconstructing history from three systems.

The process cannot take more volume

What works at 30 documents a month does not work at 300. The bottleneck is not the tool — it is that the workflow was never designed, so scaling it means hiring rather than automating.

Definition

What Jotform does, and who it is actually for

Jotform is a form-building and workflow platform that captures data, turns that data into documents, and routes those documents for approval and signature. Paired with Salesforce it becomes a capture-and-document layer around the CRM: forms prefilled from existing records, submissions written back to Salesforce objects, and generated PDFs filed against the record they belong to.

Jotform consulting and implementation is the work of designing that layer so it matches your data model, your process and your controls — rather than leaving each team to build its own forms and hope the data lands somewhere useful. Jotform is a strong fit when the work starts with a person filling something in: an application, a request, an onboarding pack, a renewal, a maintenance ticket, a consent form. It is a weaker fit when documents must be assembled entirely from data already inside Salesforce with no human input at all — that is closer to Salesforce document generation territory, and we will tell you when that is the better call.

Twopir Consulting is a Salesforce Partner. We implement Jotform — we are not a Jotform reseller, and we have no incentive to put it where it does not belong. Product capabilities described on this page come from Jotform's own documentation; what we add is the architecture, the integration work and the governance around it.

How We Engage

Implement it, configure it, or build past its limits

These are three separate engagements, and most organizations need only one of them right now. Knowing which one you need is usually the first useful outcome of a conversation with us.

Jotform Implementation

Standing Jotform up as a governed part of the stack, for teams adopting it for the first time or replacing a legacy form tool.

  • Plan and licence fit against the capabilities you actually need
  • Salesforce connection, environments and sandbox strategy
  • User provisioning, roles and single sign-on
  • Security review — data residency, retention, access
  • First production workflows built end to end with your team
  • Migration from Google Forms, Formstack, Wufoo or spreadsheets

Jotform Configuration

Work done inside the product, with no code. This is where most organizations get the fastest return, and where most of them stop short.

  • Form design, conditional logic and multi-page flows
  • Salesforce field mapping across standard and custom objects
  • Salesforce Prefill with lookup filters
  • PDF templates in the Jotform PDF Editor
  • Approval and signature workflows, including group sign-off
  • Payments, file uploads, notifications and Jotform Tables

Build On Jotform

Custom development past the product's boundary — the work that decides whether an implementation survives contact with a real process.

  • Salesforce Flow and Apex triggered by submissions
  • Webhook and REST API integrations to systems with no connector
  • Deduplication, matching rules and error-handling queues
  • Document logic spanning several Salesforce records
  • Middleware orchestration through Zapier, Make or Celigo
  • Reporting on submission, approval and turnaround data

What We Deliver

Jotform capabilities, applied to a real business process

Every capability below is something Jotform supports natively. What we bring is the decision about which ones your process needs, how they connect to Salesforce, and what happens when a submission does not behave the way the demo did.

Salesforce Data Capture & Mapping

The foundation. Form fields map to Salesforce objects so a submission lands as a record, not as an email somebody has to process.

  • Mapping to Leads, Contacts, Accounts and custom objects
  • Create-or-update logic instead of blind record creation
  • Picklist and record-type alignment with your data model
  • Validation at capture so bad data never reaches the CRM
  • Field-level decisions made with your admin, not guessed

Document & PDF Generation

Submission data becomes a finished document on submit — branded, consistent, and attached to the record it describes.

  • PDF templates designed to your brand and legal standards
  • Conditional sections that appear only when they apply
  • Smart PDF Forms to bring existing PDFs onto the platform
  • Generated files written back to the Salesforce record
  • Template governance so versions stay controlled

Approval & Signature Workflows

Documents move on a defined path with named approvers, conditional branches and a signature step — not on a reminder email.

  • Multi-stage approval flows with conditional routing
  • Group approvals with explicit completion rules
  • Electronic signature collected inside the same flow
  • Different paths depending on the signing outcome
  • A record of who approved what, and when

Prefill & Client-Facing Experiences

Send a customer a form that already knows who they are. Fewer fields to complete means higher completion and less correction downstream.

  • Salesforce Prefill driven by the record, with lookup filters
  • Renewal and update forms that show current values
  • Embedded forms on your site, portal or email
  • Mobile and offline-tolerant capture for field teams
  • Accessibility and language considerations built in

Payments, Files & Compliance

Where money and regulated data are involved, the configuration decisions matter more than the form design.

  • Payment collection through the supported gateways
  • File uploads routed to the record and to cloud storage
  • Access control, retention and data-residency decisions
  • Single sign-on through your existing identity provider
  • Guidance on the plan tier a compliance requirement needs

Custom Development & Integration

The work that happens when the native connector stops. This is usually what separates a pilot that stalls from a system that runs.

  • Webhooks and REST API work for unsupported systems
  • Salesforce Flow and Apex triggered by submission events
  • Error queues, retries and alerting so nothing fails silently
  • Bulk and historical data migration with validation
  • Reporting on submission volume, approval time and drop-off
Integration Architecture

How Jotform connects to the rest of your stack

An integration is not "the two systems are connected." It is a decision about what moves, in which direction, on what trigger, and what happens when it fails. These are the connections we design most often.

Jotform + Salesforce

The core connection, so that customer-supplied data becomes a CRM record rather than an inbox item. Outbound to Salesforce: submission values create or update Leads, Contacts, Accounts and custom objects, with the generated PDF and any uploaded files attached to the record. Inbound from Salesforce: record data prefills the form before the customer opens it. Sales, service and operations then work from one record instead of a form export. See the Jotform Salesforce integration overview, or the step-by-step Jotform to Salesforce integration walkthrough.

Jotform + Salesforce Flow & Apex

For work that has to happen the moment a submission lands, inside Salesforce's own automation model. Direction: the submission writes a record; a record-triggered Flow or Apex trigger then assigns an owner, opens a case, starts an approval, updates a related record or calls an external service. Keeping this logic in Salesforce means it obeys your sharing rules and is visible to your admins — not buried in a third-party tool. Part of our Salesforce architecture practice.

Jotform Sign and e-signature platforms

Signature is a decision, not a default. Jotform Sign collects signatures inside the same workflow, which is the simpler architecture when the document originates in the form. Direction: document out for signature, completed PDF and audit trail back to the Salesforce record. Where an enterprise agreement, an existing DocuSign investment or a specific compliance requirement already exists, we integrate that instead and say so plainly.

Jotform + payment gateways

For applications, deposits, registrations and fees collected at the point of submission rather than chased afterwards. Direction: payment is authorised through the gateway at submit; the transaction reference and status flow back into the submission and onto the Salesforce record, so finance and the customer-facing team see the same payment state. The gateway choice is usually dictated by what your finance team already reconciles against.

Jotform + document storage

Generated PDFs and uploaded files have to live somewhere your team and your auditors can find them. Direction: on submission, files are written to Salesforce Files against the record and, where required, mirrored to Google Drive, Dropbox or Box in a folder structure that matches how the business actually files things. The decision worth spending time on is which system is the system of record — not which one is easiest to switch on.

Jotform API, webhooks and middleware

For the systems with no native connector — an ERP, a practice management system, a proprietary portal. Direction: a webhook fires on submission and posts the payload to an endpoint we build or to a middleware layer such as Zapier, Make or Celigo, which transforms it and routes it onward. This is also where retries, error queues and alerting belong, so a failed integration surfaces immediately instead of at month end.

Our Methodology

How a Jotform implementation actually runs

Six phases, one continuous engagement. A focused single-workflow build can run in days; a multi-department rollout with custom integration and migration is measured in weeks. We scope it honestly at phase one rather than quoting a number before we have seen the process.

Phase 01

Discovery & Current-State Assessment

We walk the process as it runs today — who fills in what, who checks it, where it waits, and what gets retyped. We inventory existing forms and templates, and we look at your Salesforce org: objects, required fields, record types, validation rules and the automation already in place. Skipping this is why implementations get rebuilt: the form is easy, the data model underneath it is not.

Phase 02

Solution Architecture & Data Design

We decide where each piece of data belongs, which object a submission writes to, how records are matched to avoid duplicates, and which platform owns each part of the workflow. This is also where we set the configuration-versus-development boundary, so the build has no surprises in it and you know what you are paying for.

Phase 03

Configuration & Template Design

Forms, conditional logic, field mapping, prefill and PDF templates get built in Jotform. Document templates are designed against your brand and whatever your legal or compliance team requires, with conditional sections so one template covers variants rather than spawning six near-copies. Template governance is agreed here, not later.

Phase 04

Integration, Automation & Customization

The Salesforce connection is built and tested, then the automation around it: Flow or Apex on submission, approval routing, notifications, and any API or webhook work for systems without a connector. Error handling is built in the same pass — retries, a queue for failed writes, and alerting — because a silent failure is worse than a visible one.

Phase 05

Testing, Validation & Training

We test with real data and real edge cases, not the happy path: missing fields, duplicate submitters, abandoned approvals, failed payments. We verify the record lands correctly, the document renders correctly, and permissions hold. Then we train the people who will run it — including the admin who will add the next form without calling us.

Phase 06

Deployment, Support & Optimization

A controlled rollout, usually one team or one workflow first, with the old process available until the new one has proven itself. After go-live we watch the data that matters — submission volume, approval turnaround, where people abandon the form — and tune it. Most of the value in the second quarter comes from what that data tells you.

Use Cases

Where Jotform earns its place in the workflow

The pattern is consistent: a document that a person has to supply information for, that has to reach a CRM record, and that somebody has to approve or sign.

Real estate transactions

Rental applications, tenancy and lease agreements, disclosures, inspection checklists and move-in documentation — generated from the property and contact record, signed, and filed back against it.

Proposals & quotes

Requirements captured once, then rendered into a branded proposal with the right sections for the deal — so the turnaround is minutes rather than an afternoon of copy-editing last quarter's file.

Contracts & agreements

Service agreements, statements of work, NDAs and engagement letters routed for internal approval before they reach the client, then signed and attached to the opportunity or account.

Customer onboarding

The information pack a new client has to supply, collected in one guided flow with conditional sections, validated at capture, and written straight onto the account rather than emailed as attachments.

Renewals & change requests

A prefilled form showing what is currently on record, so the customer confirms or corrects rather than starting from blank — which is the difference between a renewal that completes and one that stalls.

Intake & applications

Client intake, membership, grant and programme applications — captured with the qualifying logic built in, so what reaches the team is already routed and already scored against your criteria.

Field & operational forms

Site inspections, maintenance requests, safety checks and service reports completed on a phone, with photo uploads, landing against the asset or case record the moment the technician submits.

Internal requests & approvals

Purchase requests, discount approvals, onboarding and offboarding, policy acknowledgements — moving on a defined path with named approvers and a record of every decision.

Proof

Document automation we have actually delivered

The engagements below are not Jotform builds — they are the same problem solved with adjacent tooling, which is the honest way to show you what this work looks like before you commission it.

★★★★★
The time our operations team spent preparing documents manually was significant — and the errors that crept in created rework downstream. Now the system generates the right document the moment the trigger fires. The team doesn't think about it anymore. That's exactly what we needed.

Why Twopir

A Salesforce team that happens to be very good at documents

Most Jotform work fails on the Salesforce side, not the form side. That is where our practice starts.

We are Salesforce architects first

The hard part of a Jotform implementation is the data model it writes into — record types, matching rules, sharing, and the automation already running on those objects. We work on that layer every day, which is why our integrations survive the second and third workflow.

We tell you where the product stops

The configuration-versus-development boundary is stated in writing before the build starts, not discovered in week three. If something you want needs custom work, you hear it at scoping — and if Jotform is the wrong tool for it, you hear that too.

We build for the failure cases

Every implementation gets error queues, retries and alerting, because the submissions that do not write cleanly are the ones that cost you a customer. A workflow with no error handling is a demo, not a system.

We hand it over properly

Your admin should be able to add the next form without calling us. Documentation, template governance and training are part of the engagement — we would rather be called for the next architecture problem than for routine changes.

Common Questions

Answers before the first call

A Jotform consultant designs the workflow around the form, not the form itself. That means mapping your current process, deciding which Salesforce objects a submission should write to, designing the document templates and approval routing, building the integration, and putting error handling and governance around it. Building a form takes an afternoon; deciding what happens to the data afterwards is the work that determines whether the implementation holds up.

It depends almost entirely on how clean the Salesforce side is. A single workflow — one form, one object, one document, standard mapping — is a matter of days: a comparable form-to-Salesforce automation we built for a growth-stage SaaS company went live in five business days. A multi-department rollout with custom integration, document template design, data migration and training is measured in weeks. We scope it during discovery rather than quoting a duration before seeing the org.

Both. According to Jotform's documentation, form fields can be mapped to standard objects such as Leads, Contacts and Accounts as well as custom objects, and the integration can be set to update existing records rather than only create new ones. Submission PDFs and uploaded files can be sent to the chosen record too. Where it needs help is matching — deciding which existing record a submission belongs to, and what to do when the answer is ambiguous. That logic is usually build-on work on the Salesforce side.

Indirectly, and the distinction matters. Jotform generates documents from submission data using its PDF Editor, and Salesforce Prefill can populate a form from a record before it is submitted — so a document can carry Salesforce data that arrived via prefill. What Jotform is not is a record-triggered document engine: it will not assemble a contract from several related Salesforce records with no human in the loop. When that is the requirement, a native Salesforce document generation tool is the better architecture, and we would point you to our Salesforce document generation services instead.

Three cases. First, when no human supplies input and the document must be built entirely from existing CRM data — that is native document generation territory. Second, when the document is a negotiated agreement needing redlining, clause libraries and version history, which is contract lifecycle management. Third, when your organization has already standardised on another form platform and the real problem is that nobody configured it properly — replacing the tool will not fix a process that was never designed. We would rather say this at scoping than six weeks in.

It is driven by governance and compliance requirements more than by volume. Jotform documents features such as single sign-on, SOC 2-compliant hosting, HIPAA compliance under a signed Business Associate Agreement, and data residency options as Enterprise-tier capabilities, and it lists Jotform Enterprise on the Salesforce AppExchange. If you need SSO, a BAA, or data held in a specific region, that decides it. If you do not, a standard plan is often sufficient to start. Plans and terms change, so we confirm the current position with Jotform during scoping rather than quoting it from memory.

Monitoring the integration so failed writes are caught rather than discovered at month end; adding forms, templates and workflows as the business changes; adjusting field mapping when the Salesforce data model moves underneath it; and reviewing the operational data — submission volume, approval turnaround, where people abandon the form. That last part is where most of the second-quarter value comes from, because it tells you which step in your process is actually the slow one.

Next Step

Bring us the workflow that is costing you the most, and we will scope it properly

A first conversation is an assessment, not a pitch. You leave knowing whether Jotform is the right tool, where the configuration-versus-development boundary sits for your process, and roughly what the work involves — whether or not you engage us to do it.
