Introduction:

With the release of Spring ’18, Salesforce Surveys is now available! This exciting feature enables you to effortlessly create user-friendly forms for gathering valuable feedback and data. Built with a simple editor, all survey data collected is stored directly in your Salesforce Org, making it easy to analyze, create reports, and share insights with your team. This blog will walk you through the steps to enable, customize, and activate your first Salesforce survey.

Availability:

Salesforce Surveys is available in Developer, Enterprise, Performance, and Unlimited Editions that include Health Cloud. If your edition does not include Health Cloud, you can still create one survey at no additional cost. However, if you need to create more surveys, you will need to pay an additional fee.

Steps to Create Your First Salesforce Survey

1. Enable Surveys in Your Org


To get started, you need to enable the Surveys feature:

  • Go to Setup > Feature Settings > Survey > Survey Settings.
  • Toggle the setting to “Enabled.”

2. Assign Permissions to Users


Now that Surveys are enabled, the next step is to grant users permission to create surveys. Ideally, Salesforce offers a built-in “Survey Creator” permission set, but if you do not see it, you will need to create your own:

  • Create a permission set.
  • Assign users Read, Create, Edit, and Delete permissions for the Survey and Survey Invitation objects.
  • Assign this new permission set to the users who will be creating the surveys.

3. Customize the Start Page


When creating a new survey, the first thing respondents will see is the Start Page. This page serves as the introduction to your survey.

  • You can add a header and a description to provide context.
  • Use this opportunity to give your survey a personal touch, explaining why the respondent’s feedback is important.

4. Add Survey Questions


Salesforce Surveys offers five different types of questions to choose from:

  • Radio Buttons: Allows only one answer.
  • Multiple Choice: Multiple answers can be selected.
  • Text: Free-form text response.
  • Rating: Custom rating scale.
  • Date: Allows respondents to select a date.

To add a question:

  • Click the “Add a Question” button.
  • Select your desired question type.
  • Enter your question, an optional description, and response values (depending on the type).

You can choose to make certain fields required and manage other settings through the properties section. If needed, you can edit, copy, or delete questions by clicking on them in the sidebar.

5. Customize the ‘Thank You’ Page


After your respondent submits the survey, they’ll be taken to a Thank You page.

  • You can customize this page to include a personalized thank-you message, expressing appreciation for their time and effort.

6. Match Your Survey to Your Brand


Salesforce provides customization options that allow you to align the survey with your brand identity:

  • Use the paintbrush icon to change font colors, button styles, and background images.
  • Be mindful of image size limits (750KB for background images).

You can also change font sizes and families for each question, the thank you page, and the start page using the WYSIWYG editor.

7. Activate Your Survey


Once you’re satisfied with the design and content, it’s time to activate your survey:

  • Click the Activate button in the top right corner of the page to make the survey live.

 

8. Send Out Your Survey


Once the survey is activated, you can generate a link by navigating to the Send tab.

  • Decide if you want to send the survey to internal or external participants.
  • To allow external participants to access the survey without logging in, ensure that Communities are enabled in your Salesforce Org, and public access is granted for your community.

You can also anonymize responses and decide whether to let participants see their answers after completion.

9. View and Analyze Responses


Survey responses can be viewed in the Analyze tab of the Survey Builder. However, if the built-in analysis doesn’t meet your needs, you can create a custom report type to gain deeper insights from the survey data.
