How To Keep Accounting Seed And Salesforce In Sync
Accounting Seed runs inside Salesforce, so there is no connector to keep alive between your CRM and your ledger. What still drifts is the handoffs: Opportunity to Billing, Billing to cash, cash to the bank, and every period you close. This guide shows technology companies where those handoffs break and how to keep them reconciled.
Key Takeaways
- Accounting Seed is built natively on Salesforce and shares the same database as your CRM, so keeping Accounting Seed and Salesforce in sync is a process and configuration problem, not a connector problem.
- Six handoffs decide whether the numbers agree: Opportunity Products to Billing Lines, recurring billing jobs, cash application, payment processors, bank feeds, and period close.
- Some edges do not sync back on their own. A Cash Receipt voided in Accounting Seed still has to be voided by hand in Stripe, and a Billing whose tax sits on a filed Avalara return can no longer change its key fields.
- Soft Close (Close AR) and Hard Close are your strongest sync controls: they stop anyone posting or unposting into a period finance has already reported.
- A short monthly routine, owned jointly by finance and RevOps, catches most drift before it reaches the close.
Keeping Accounting Seed and Salesforce in sync sounds like an integration task, and for most accounting systems it would be. With Accounting Seed it is different. Accounting Seed describes itself as accounting software built natively on Salesforce, and its connectors work by sharing the same database as your CRM. Your Accounts, Opportunities and Products are already the records your Billings point to.
Yet finance teams at technology companies still see the CRM and the ledger disagree. Bookings in the pipeline report do not match billings. A customer paid but still shows overdue. A renewal was billed at last year's price. None of that is a failed sync job. It is a handoff that was never designed, or a control that was never switched on. This guide maps those handoffs and shows how to keep each one clean.
Do Accounting Seed And Salesforce Need To Be Synced At All?
Not in the usual sense. Accounting Seed is a managed package inside your Salesforce org, so CRM and accounting records live in one database and no middleware copies data between them. What you do need is a designed path from each sales record to its accounting record, plus controls that stop either side changing after the books close.
What stays in sync by design: customer Accounts, Opportunities, Products and the users and permissions around them. A Billing created from an Opportunity references the same Account your sales team works, and reports can join pipeline, invoices and cash without an export.
What still needs design: how Opportunity Products become Billing Lines and GL accounts, when recurring Billings run, how cash is applied, what happens when Stripe, Avalara or a bank feed changes on its side, and who can edit a record once its period is closed.
If you are still choosing between a native ledger and an external one, our guide to Accounting Seed for tech firms covers that architecture decision. This post assumes Accounting Seed is live and focuses on keeping it accurate.
Where Can Accounting Seed And Salesforce Data Drift Apart?
Drift happens at six handoffs, not across the whole org. Four sit inside Salesforce: Opportunity to Billing, recurring billing, cash application and period close. Two sit at the edge, where payment processors, tax engines and bank feeds keep their own copy of a transaction. Map each one, give it an owner, and you know where to look first.
| Handoff | What moves | How it drifts | Control |
|---|---|---|---|
| Opportunity → Billing | Opportunity Products become Billing Lines | Product without a revenue GL account; Opportunity edited after billing | Product-to-GL mapping; lock closed-won fields |
| Recurring Billing | A template that generates Billings on a schedule | Template not updated after an upsell, renewal or price change | Amendment process; scheduled job with exception review |
| Cash application | Cash Receipts applied to Billings | Unapplied cash; customer shows overdue after paying | Daily unapplied-cash report; payment automation |
| Payment processor | Card and ACH payments, refunds, voids | Voids or refunds recorded on one side only | Written void and refund procedure per processor |
| Tax and bank feeds | Tax calculations; bank transactions | Edits after tax is committed or filed; missed bank downloads | Post-then-lock rule; daily bank download |
| Period close | Posting into Accounting Periods | Back-dated posting into a reported month | Soft Close for AR, then Hard Close |
How Do You Turn A Salesforce Opportunity Into An Accurate Billing?
Create the Billing from the Opportunity, never retype it. Accounting Seed can build a Billing directly from an Opportunity, turning its Opportunity Products into Billing Lines. Accuracy then depends on three things you set up in advance: every Product mapped to the right revenue GL account, clean Account data, and a rule that closed-won Opportunities stop changing once they are billed.
According to Accounting Seed's Cash In overview, a Billing is the customer invoice, and it can be created from an Opportunity, a Field Service Work Order, a Recurring Billing, a Project, a Time Card, an Expense Report or a custom object. You can also select several Opportunities in a list view and create their Billings in one batch, with an option to create and apply Cash Receipts at the same time. A Billing with a negative amount acts as a credit memo.
If you quote in Salesforce CPQ or Revenue Cloud, add one more rule: the quote is the source of truth for price. Accounting Seed lists Sales Cloud, Revenue Cloud and Service Cloud connectors, but how quote lines flow into Billing Lines is a design decision for your org, so test it with discounts, multi-year terms and mid-term amendments before go-live.
How Do You Keep Recurring Billing In Step With Subscriptions?
Treat each Recurring Billing as a contract that must change whenever the deal changes. A Recurring Billing is a template that generates Billings on a schedule, and you can create one straight from an Opportunity. It will keep billing exactly what it was told until someone updates it, so upsells, downgrades and renewals each need a defined path back to the template.
The recurring billing setup guide sets out the behaviour that matters for subscription businesses:
- Fixed frequencies. Weekly, bi-weekly, monthly (the default), quarterly, semi-annual and annual. Custom frequencies are not supported, so unusual billing cycles need a design decision up front.
- Automatic end. When the next billing date reaches the end date, the record becomes inactive and stops billing. Renewals therefore need a new or extended template, or revenue silently stops.
- Scheduled runs. The recurring billing job can run on a schedule, and an "Exclude from Automation" checkbox holds back individual records, which is useful while an amendment is being approved.
- Line-level detail. Recurring Billing Lines carry the Product, revenue GL account, GL variables and tax group, so the template is also where your reporting dimensions are set.
Billing and revenue are separate questions. Accounting Seed's revenue amortization lets you recognize revenue over time, independently of when you bill the customer, so an annual upfront invoice can still be recognized monthly. How Do Payments, Refunds And Bank Feeds Stay In Sync?
Cash stays in sync when every payment lands as a Cash Receipt applied to the right Billing, and every reversal is made on both sides. Inside Salesforce this is straightforward. The risk sits with outside systems, because a payment processor or bank keeps its own record, and not every change flows back automatically.
When a Cash Receipt is applied to a Billing it reduces the Billing's balance; unapplied receipts keep a balance until someone applies them. Accounting Seed's AR automation records electronic payments and fees automatically, and its integrations page lists Sola (formerly Cardknox) and Stripe for payments, Plaid and Yodlee for banking, and Ramp for spend. The details that cause drift are in the release notes:
| Event | What happens | What you must do |
|---|---|---|
| Void a Cash Receipt (Sola / Cardknox) | The void syncs both ways while the processor batch is still open | Void promptly, before the batch settles |
| Void a Cash Receipt (Stripe) | Accounting Seed reverses its own entries | Void the transaction in Stripe by hand as well |
| Unapply on a cash-basis ledger | Applications must be reversed in sequence | Unapply newest first; apply credit memos before payments in the same period |
| Bank Direct Connect | Plaid, Yodlee or Salt Edge feed bank transactions in | Schedule the Bank Download job daily and match before close |

For technology companies that take card payments at checkout, write the refund and void procedure down per processor. The most common mismatch we see is a refund issued in the processor's dashboard with no matching entry in Accounting Seed, which leaves AR, cash and the customer's account history telling three different stories.
How Does Period Close Protect Data You Have Already Reconciled?
Closing a period is the control that keeps last month's reconciled numbers from moving. Accounting Seed controls posting by opening and closing Accounting Periods, with two levels. A Soft Close locks one area, such as receivables, while the period stays open. A Hard Close locks all posting and unposting for the whole period.
From Accounting Seed's period close documentation:
Close AR, Close AP Or Close Inventory
Close AR stops posting or unposting Billings, Cash Receipts, cash applications and credit memo applications in that period. The period stays open for other work, and soft closes do not need to run in date order.
Lock The Whole Period
Blocks all posting and unposting, rolls opening balances into the next period, and can update aging. Periods close oldest first, up to 12 at a time, and can be reopened if a correction is approved.
Tax adds a second lock. With Avalara AvaTax, once a Billing's tax sits on a filed return, fields such as its period, ledger, customer, addresses and line amounts can no longer be changed, according to the AvaTax integration guide. AvaTax in Accounting Seed covers the US and Canada. A practical rule for growing teams: soft-close AR as soon as invoicing for the month is done, so late Opportunity edits cannot reach invoices finance has already reported.
How Do You Keep Multi-Currency And Multi-Entity Data Consistent?
Decide currency and entity structure once, before data volume grows. Salesforce multi-currency cannot be switched off after it is enabled, and its exchange rates are set and updated manually. Accounting Seed can transact in a currency different from the ledger and keep several entities in one database, so the design work is agreeing where rates and entity rules come from.
Salesforce's multi-currency considerations include one that surprises finance teams: changing a standard conversion rate updates converted amounts on existing records, including closed Opportunities. Advanced currency management adds dated rates for Opportunities, but those dated rates are not used on currency fields in other objects. That is exactly how a CRM bookings report and a ledger revenue report end up disagreeing in a reporting currency.
- Pick one rate source and one owner. Finance owns rates; RevOps never edits them to "fix" a dashboard.
- Report bookings and revenue separately. Bookings in CRM currency logic, revenue from the ledger, with a documented reconciling line between them.
- Model entities as ledgers. Accounting Seed's multi-ledger feature keeps several entities in one database; decide which entity bills which customer before Billings are created.

Where Does Sync Break In Technology Companies? (The Part Most Guides Skip)
Most content stops at "native means no integration." These are the gaps we design around when we review a live Accounting Seed org.
A Monthly Accounting Seed And Salesforce Sync Checklist
Run the same short routine every month, with named owners in finance and RevOps. Each check below compares two things that should agree. Most can be a saved Salesforce report, because the CRM and ledger records live in the same org. The routine takes far less time than finding the same differences during year-end close.
| Check | Compare | Owner | When |
|---|---|---|---|
| Unbilled bookings | Closed-won Opportunities vs Billings created from them | RevOps + AR | Before invoicing |
| Billing accuracy | Billing totals vs source Opportunity or quote | AR | Before posting |
| Recurring templates | Active Recurring Billings vs active contracts, renewals and ends | RevOps + AR | Before the scheduled run |
| Unapplied cash | Cash Receipts with a balance vs open Billings | AR | Weekly |
| Processor reconciliation | Processor payouts, refunds and voids vs Cash Receipts | Finance | Before Soft Close |
| Bank match | Downloaded bank transactions vs posted cash records | Finance | Before Hard Close |
| Period locks | Soft Close AR done, Hard Close done for the prior month | Controller | Month end |
Does AI Change How You Keep Accounting Seed In Sync?
AI makes clean, synced data more valuable, not less necessary. In 2026 Accounting Seed released AI agents, a Close Hub and Salesforce Hosted MCP, which lets AI assistants act on accounting data inside your org. Those tools read the same Billings, Cash Receipts and periods described above, so their answers are only as good as your handoffs.
Accounting Seed announced general availability of Salesforce Hosted MCP on July 29, 2026. Per the release, it offers more than 20 MCP tools, every AI action runs under the signed-in user's existing Salesforce permissions, data stays in the customer's org, and actions are recorded in an audit trail. In September 2026 the company added an AI Assistant and a Close Hub that tracks open periods and close progress.
Two practical consequences for finance leaders. First, permissions now govern what an AI assistant can do as well as what a person can do, so review profiles and permission sets before connecting one. Second, an assistant asked for an aging summary will faithfully report unapplied cash and stale recurring templates; the monthly checklist above is what makes those answers trustworthy.
When Should You Bring In An Accounting Seed Partner?
Bring in help when the monthly reconciliation keeps finding the same differences. Recurring mismatches between bookings, billings and cash usually trace back to a design gap: product and GL mapping, automation order, an unmanaged processor, or periods that are never closed. Fixing the cause once is cheaper than reconciling the symptom every month.
We help growing and mid-market companies solve complex CRM, integration, and business system challenges, and Accounting Seed is a core part of that work. Our Accounting Seed assessment and remediation service reviews period close and approvals, billing and automation order, and integration failure handling, then corrects issues with a reconciliation against a known-good position before and after each change. For new rollouts, our Accounting Seed implementation team configures the ledger, billing, AR automation and integrations such as Stripe, Cardknox, Avalara and bank feeds.
In one published engagement, a US law firm on Accounting Seed and Salesforce moved cash receipt application to full automation, with payments posting in the correct sequence. The industry is different, but the fix is the same one technology companies need: design the order in which cash is applied and posted. Still comparing ledgers? Schedule a Discovery CallThe Bottom Line
Accounting Seed removes the integration between your CRM and your ledger, but not the need for discipline between them. Keeping Accounting Seed and Salesforce in sync comes down to six handoffs, a few hard rules and a monthly routine that compares what should agree.
- 1
Create Billings from Opportunities, map every Product to a revenue GL account, and stop closed-won deals changing once they are billed.
- 2
Give every upsell, downgrade and renewal a defined path back to its Recurring Billing template.
- 3
Write a void and refund procedure for each payment processor; Stripe voids need a manual step.
- 4
Use Soft Close for AR as soon as invoicing is done, and Hard Close once the month is reconciled.
- 5
Run the monthly sync checklist with named owners before you connect AI tools to your finance data.
Frequently Asked Questions
No connector is needed between your CRM and Accounting Seed, because Accounting Seed is built natively on Salesforce and shares the same database. You still need integrations for systems outside Salesforce, such as payment processors, tax engines and bank feeds, and a designed path from each Opportunity to its Billing.
Use Create Billing on the Opportunity, or select several Opportunities in a list view to create Billings in a batch. Opportunity Products become Billing Lines, so map every Product to a revenue GL account first. For subscriptions, Create Recurring Billing builds a template that generates Billings on a schedule.
The usual causes are closed-won Opportunities edited after billing, Recurring Billings not updated after an upsell or renewal, Products without a revenue GL account, and exchange rate changes that restate closed Opportunities. A monthly report comparing closed-won Opportunities with the Billings created from them finds most differences.
Not all of them. According to Accounting Seed's Winter '25 release notes, voiding a Cash Receipt reverses its entries in Accounting Seed, but with Stripe you must also void the transaction in Stripe by hand. With Sola (formerly Cardknox), voids sync both ways while the processor batch is still open.
Close the period. A Soft Close with Close AR blocks posting and unposting of Billings, Cash Receipts and their applications while the period stays open for other work. A Hard Close locks all posting and unposting for the period. Closed periods can be reopened when a correction is approved.
Yes. Accounting Seed made Salesforce Hosted MCP generally available on July 29, 2026, letting AI assistants run accounting tasks inside your org. Every action runs under the signed-in user's Salesforce permissions and is recorded in an audit trail, so review permissions and data quality before connecting one.
It depends on the number of handoffs involved. Twopir Consulting's Accounting Seed assessment typically takes 1 to 2 weeks, and correcting the issues it finds typically takes 3 to 8 weeks, reconciling against a known-good position before and after each change.
