Best HubSpot Migration Services For SaaS In 2026: How To Compare HubSpot Consulting Partners

Moving off Marketo, Pardot, Mailchimp, ActiveCampaign or Eloqua is the easy decision. Choosing who runs the migration is the hard one. This guide gives SaaS revenue operations leaders a clear way to compare HubSpot consulting services on reporting, implementation depth and post-migration support.

Where we sit in this: Twopir Consulting is a HubSpot Partner and a Salesforce Partner, so we are one of the options this guide helps you compare. We do not rank named competitors. Instead, this guide sets out the criteria we would want a SaaS team to use on any shortlist, ours included, and every HubSpot product fact links to HubSpot's own documentation.

Key Takeaways

  • The best HubSpot migration service for a SaaS company is the one that rebuilds your revenue reporting, not the one that moves the most records. Contacts and email templates are the easy part.
  • HubSpot's own Smart Transfer tool moves contacts, email templates, users and lists from Pardot, Marketo, Mailchimp and ActiveCampaign. It does not move nurture programs or automation, and it does not support Eloqua or Salesforce Marketing Cloud.
  • Judge every HubSpot consulting partner on three things: revenue operations reporting (lifecycle, attribution, forecast), implementation depth (SaaS data model, integrations, automation rebuild) and post-migration support (reconciliation, adoption, optimisation).
  • Several SaaS reporting needs depend on your HubSpot tier. Custom objects need Enterprise. Deal revenue attribution needs Marketing Hub Enterprise. Report datasets need Data Hub Enterprise. A good partner tells you this before you sign.
  • Partner tier and star ratings show sales success and reviews, not migration skill. Filter for the Data Migration accreditation and ask for a migration from your specific source tool.

Most SaaS teams that move to HubSpot are not short of data. They are short of trust in it. MQLs live in one tool, pipeline in another, product usage somewhere else, and the board deck is assembled by hand. A marketing technology migration is the moment to fix that, which is why choosing HubSpot consulting help is really a revenue operations decision, not an IT purchase.

This guide is written for SaaS revenue operations leaders at growing and mid-market companies who are leaving a legacy marketing tool. It explains what each type of HubSpot migration service actually covers, what moves across automatically and what has to be rebuilt, and how to score a shortlist on the three criteria that decide whether the new portal produces numbers your leadership will use.

Section 01 · Quick Answer

What Is The Best HubSpot Migration Service For A SaaS Company?

The best HubSpot migration service for a SaaS company is a HubSpot consulting partner that has migrated from your exact source tool, designs your lifecycle and attribution reporting before moving data, rebuilds automation deliberately, and stays through reconciliation and adoption. For a simple contact-and-template move, HubSpot's own Smart Transfer tool may be enough.

You need a HubSpot consulting partner if your migration touches pipeline and revenue reporting, not just email. That includes moving lead scoring and nurture logic, keeping attribution history, connecting product usage or billing data, running HubSpot alongside Salesforce, or leaving a tool HubSpot's self-serve transfer does not support, such as Eloqua or Salesforce Marketing Cloud.

You may not need one yet if you are moving a clean contact list and a handful of email templates from Mailchimp or ActiveCampaign, your sales team does not depend on the marketing data, and nobody reports revenue from marketing activity. Smart Transfer and HubSpot's import tool can handle that, with an internal admin checking the result.

Most SaaS teams sit in the first group. Even early-stage companies usually have trial or freemium signals, a sales-assisted motion and a board that asks which channels produce pipeline. Those requirements are what separate a data transfer from a HubSpot implementation.

Section 02 · Definitions

What Does HubSpot Consulting Cover In A Marketing Technology Migration?

A HubSpot migration has four layers. Data is the records themselves. Assets are templates, forms, lists and pages. Automation is the logic that moves people through the funnel. Reporting and integrations are what turn the portal into a revenue system. A full HubSpot consulting engagement covers all four. A data-only service covers the first one, and part of the second.

That distinction matters when you compare quotes. Two providers can both say "HubSpot migration" while one means "your contacts arrive" and the other means "your pipeline report works on day one". Ask every provider which of the four layers is in scope, in writing.

Data

Contacts, companies, deals, activities and their associations, deduplicated and mapped to properties that match how you sell.

Assets

Email templates, forms, lists, landing pages and content. Some move with tools, most need review, and many are better rebuilt.

Automation

Nurture programs, lead scoring, lifecycle updates, routing and alerts, rebuilt as HubSpot workflows rather than copied.

Reporting & Integrations

Lifecycle and funnel reports, attribution, forecast, plus the connections to your product, billing system and CRM.

Section 03 · Landscape

Which Types Of HubSpot Migration Services Are There?

There are five types of HubSpot migration service: HubSpot's self-serve Smart Transfer tool, HubSpot's own paid migration services, marketing-led agency partners, revenue operations and CRM consulting partners, and freelancers or in-house admins. They differ mainly in how far beyond data they go, and in whether anyone owns the reporting once you go live.

Service typeWhat it usually coversBest fitWatch for
HubSpot Smart Transfer (self-serve)A one-way transfer of supported records and templates, run by a Super AdminSimple moves from a supported tool with clean dataNo automation, no custom objects, no Eloqua or Marketing Cloud
HubSpot-led migrationHubSpot migrates the needed assets; you own setup, configuration and integrationTeams with a capable internal admin and simple reportingConfiguration, integrations and reporting design stay with you
Marketing-led agencyTemplates, landing pages, emails and campaign setup, often with content servicesMarketing-only moves where sales runs elsewhereDepth on pipeline, lifecycle and CRM integration varies widely
RevOps & CRM consulting partnerAll four layers: data, assets, automation rebuild, reporting and integrationsSaaS teams that report pipeline and revenue from marketing activityCheck they still handle email and content assets well
Freelancer or in-house adminHands-on imports and workflow builds within one person's capacitySmall, low-risk moves or follow-on work after a partnerSingle point of failure; little capacity for parallel running

HubSpot describes HubSpot-led, partner-led and hybrid migration options on its switching guide, and lists paid CRM data migration and migration consulting services in its product catalog. Confirm current scope and pricing with HubSpot directly.

The table is not a ranking. A marketing-led agency can be the right answer for a content-heavy move, and many teams use a hybrid: HubSpot or Smart Transfer for the bulk data, and a consulting partner for the architecture, automation and reporting around it.

Section 04 · Source Tools

What Moves Automatically From A Legacy Marketing Tool, And What Gets Rebuilt?

From legacy marketing tools, HubSpot's Smart Transfer moves contacts, email templates, users and lists. Pardot tags and ActiveCampaign deals and segments also come across. Nurture programs, scoring rules, smart campaigns and reports do not transfer, so a legacy marketing tool migration always includes a rebuild of the logic behind your funnel.

Source toolSmart Transfer movesPlan to rebuild
Account Engagement (Pardot)Prospects as contacts, email templates, users; one-time transfer of lists, and tags as a contact propertyEngagement Studio programs, scoring and grading, automation rules, forms, reports
MarketoContacts, email templates, users; one-time transfer of listsSmart campaigns, engagement programs, scoring, program and channel reporting
MailchimpContacts and email templatesAudience segments, automations, signup forms
ActiveCampaignContacts, deals, accounts as companies, email templates, segments, users, groups as teams; one-time lists, notes and tagsAutomations, scoring, pipeline stage logic
Eloqua, Salesforce Marketing CloudNot supported by Smart TransferEverything, through imports, the API or a partner-built migration

Source: HubSpot Knowledge Base, supported apps for HubSpot Smart Transfer. The "plan to rebuild" column is our delivery view of what sits outside those mappings.

Three details catch teams out. First, Smart Transfer is one-way and built for a one-time move. HubSpot says that if Salesforce stays in use, you should use the HubSpot-Salesforce integration instead, because running both creates duplicates. Second, transferring custom field mappings requires a Data Hub subscription, and custom objects are not supported. Third, HubSpot recreates transferred email templates using AI, and says they may need review and testing before you send them.

Everything else arrives through HubSpot's import tool. On paid plans an import file can hold up to 1,048,576 rows and 512 MB, with up to 10 million rows a day, according to HubSpot's import file guidelines. Imports can create emails, meetings, notes and tasks but cannot update them later, so activity history has to be right the first time. Our guide to clean HubSpot data imports covers the mechanics.

Section 05 · Criterion 1

How Should You Judge A Partner On Revenue Operations Reporting?

Judge a partner on revenue operations reporting by asking them to design your target reports before they map a single field. A strong partner starts from the questions leadership asks, such as pipeline by source, MQL-to-SQL conversion and forecast, then works back to the lifecycle stages, properties and HubSpot tier needed to answer them.

This is where many SaaS migrations quietly lose value. The legacy tool had years of campaign history and a scoring model sales had learned to trust. If original source, campaign membership and lifecycle dates are not mapped deliberately, every cohort comparison restarts on go-live day. Deciding up front what history moves, and documenting what does not, is part of the reporting design.

It also depends on your subscription. Several SaaS revenue operations reports need a specific HubSpot tier, and a partner who discovers that after go-live has handed you a licence problem.

Reporting needWhat HubSpot requiresWhy a SaaS team cares
Custom reports across objectsCustom report builder: Professional or Enterprise; datasets and formula fields: Data Hub EnterpriseFunnel conversion, ARR views and blended metrics
Deal revenue attributionMarketing Hub Enterprise (Contact Create Attribution is available on Professional)Which channels and campaigns produce closed revenue
ForecastSales Hub or Service Hub Professional or EnterpriseA forecast built on the same data marketing reports from
Custom objects (subscriptions, workspaces, licences)EnterpriseModelling SaaS-specific records that are not contacts, companies or deals
Standard sandboxEnterpriseTesting rebuilt workflows before they touch live data

Sources: HubSpot Knowledge Base on the custom report builder, attribution reports, the forecast tool, custom objects and standard sandboxes.

One more check: HubSpot's attribution models have changed. Its current models are First Touch, Last Touch, Linear, Time Decay and Empirical, and Empirical replaced the older U-shaped and W-shaped models. HubSpot also notes that deal attribution reports and forecasts connect to deals, not custom objects. A partner whose plan still promises a W-shaped model, or attribution on a subscription object, has not looked at the current documentation. For the operating model behind these reports, see our primer on revenue operations with HubSpot.

Section 06 · Criterion 2

What Does Implementation Depth Look Like In A SaaS HubSpot Implementation?

Implementation depth means the partner designs HubSpot around how your SaaS business makes money: a data model for trials, subscriptions and product usage, lifecycle stages with clear entry rules, automation rebuilt for HubSpot rather than translated line by line, and integrations with your product, billing system and CRM that have a defined source of truth.

Look for depth in four layers. A partner who is strong in one and silent on the others is offering a narrower service than the proposal suggests.

Layer 1 · Data Model

Trials, Accounts, Subscriptions And Product Signals

How workspaces or accounts map to companies, where plan and subscription data lives, and which product events feed scoring. Custom objects are an Enterprise decision, so the model has to fit your tier.

Layer 2 · Lifecycle

Lifecycle Stages, Lead Status And Handoffs

HubSpot's default stages run from Subscriber to Evangelist and only move forward automatically. A SaaS model with PQLs, sales-assisted trials and expansion needs those rules defined, not inherited.

Layer 3 · Automation

Scoring, Nurture, Routing And Alerts

Rebuilt as HubSpot workflows, which need a Professional or Enterprise subscription. A good partner simplifies here: legacy programs often carry years of logic nobody can explain.

Layer 4 · Integrations

Product, Billing And CRM Connections

Product usage, billing and, if it stays, Salesforce. The HubSpot-Salesforce integration needs Professional or Enterprise, connects one Salesforce instance per HubSpot account and can use up to four API calls per contact sync.

The Salesforce question deserves its own conversation. Many SaaS companies move marketing to HubSpot while sales stays in Salesforce. That is a sync design project, with field direction, ownership rules and an error queue, rather than a migration. Our Salesforce and HubSpot integration work is built for that seam, and our HubSpot for SaaS guide covers the product-led side of the data model.

Section 07 · Criterion 3

What Post-Migration Support Should A HubSpot Consulting Partner Include?

Post-migration support should include record and report reconciliation against the old system, a stabilisation period while both tools run, fixes to rebuilt workflows, user adoption and admin training, documentation your team can maintain, and a planned optimisation pass once real data flows. Go-live is where most failure modes first appear, not where the work ends.

Ask how long the partner stays, what they measure during that period, and who owns a broken workflow in week three. HubSpot's own support team does not write or edit custom code or troubleshoot external API errors, so integration and custom-code fixes after go-live sit with your partner or your own team.

Reconciliation

Record counts, owners, associations and key reports compared side by side with the legacy tool before it is switched off.

Stabilisation

A defined period of parallel running, with workflow monitoring and a rollback path until the numbers agree.

Adoption

Role-based training for marketing, sales and RevOps, with adoption measured rather than assumed.

Documentation & Optimisation

Workflow logic and property definitions written down, then a planned review once a few weeks of real data exist.

Section 08 · Pitfalls

Where SaaS Migrations To HubSpot Go Wrong (The Part Most Lists Skip)

Most "best agency" lists compare logos and tiers. These are the problems that actually decide whether the migration works, and each one is a question to put to your shortlist.

1. Associations arrive flattened. Contacts, companies and deals all land, but the relationships between them do not, so every record is present and the CRM is still unusable.
2. Attribution history is lost by default. If original source and campaign membership are not mapped on purpose, channel reporting restarts from zero on go-live day.
3. Automation is assumed to travel. No source tool's programs or automation rules come across. Anything not inventoried before cutover simply stops.
4. Tier gaps surface after signing. Custom objects, deal revenue attribution and report datasets all sit on Enterprise tiers. Discovering that mid-project changes your budget.
5. Two migration paths collide. Running Smart Transfer while the Salesforce integration is live creates duplicates that someone then has to merge by hand.
Section 09 · Scorecard

A Weighted Scorecard For Comparing HubSpot Consulting Partners

Score each shortlisted partner from 1 to 5 on the six criteria below and multiply by the weight. The weights reflect what we see decide SaaS migrations: reporting and implementation depth carry the most, because they are the hardest to fix later. Adjust them to your situation, but agree them before the demos, not after.

CriterionWeightWhat good looks likeQuestion to ask
Revenue operations reporting25%Target reports designed first; history scope agreed in writing"Show us the reports we will have on day one, and the tier each needs."
Implementation depth25%SaaS data model, lifecycle rules, automation simplified and rebuilt"How would you model trials, subscriptions and product usage for us?"
Source-tool experience15%Recent migrations from your exact tool, with a reference"Walk us through a recent migration from our tool. What broke?"
Integrations15%Product, billing and CRM sync with a defined source of truth"Which system owns each field, and how are sync errors handled?"
Post-migration support15%Reconciliation, stabilisation, adoption and an optimisation pass"What is included after go-live, for how long, and how is it measured?"
Commercial clarity5%Milestone-based scope with clear exclusions"What is out of scope, and what triggers a change request?"

Price is deliberately a small weight. The cost difference between two capable partners is usually smaller than the cost of rebuilding reporting a year after a cheap migration. Compare like with like by asking every provider to quote the same four layers.

Section 10 · Shortlisting

How To Read The HubSpot Solutions Partner Directory

Use HubSpot's Solutions Partner Directory to build a shortlist, not to make the decision. Tiers run from Gold to Elite and reflect the success partners have achieved for their clients, and profiles are also ranked by review count. Neither measures migration skill directly, so filter for accreditations and then test source-tool experience yourself.

Accreditations are the more useful signal. HubSpot describes them as more rigorous than badges or certifications, and requires case studies and project documentation to earn one. The Data Migration accreditation is open only to Platinum, Diamond and Elite partners with at least three full-time employees and migration projects in the last 12 months. The directory also filters by CRM Implementation, Onboarding, Platform Enablement, Custom Integration and Solutions Architecture Design. See HubSpot's accreditation overview for how each is assessed.

1. Filter the directory by the services you need, your industry and your region.
→ Expect a long list; tier and stars alone will not narrow it usefully.
2. Keep partners whose profiles show a relevant accreditation or clear SaaS revenue operations work.
→ Data Migration, CRM Implementation or Custom Integration, depending on your scope.
3. Ask each one for a migration from your exact source tool, plus a reference you can call.
→ A Marketo migration and a Mailchimp migration are different projects.
4. Ask for a short reporting design or audit before the full proposal.
→ How a partner approaches your reports tells you more than any case study.
5. Score the final two or three on the weighted scorecard above.
→ Decide on evidence, not on the most polished demo.
Section 11 · Our Approach

How Twopir Consulting Runs A HubSpot Migration For SaaS Teams

We implement, rescue, optimize, and integrate complex CRM and revenue systems. For a HubSpot migration, that means we treat the move as a revenue operations project with a data migration inside it, and we run it through five gates. Nothing passes a gate until it reconciles.

Gate 1 · Audit and cleanse
→ Deduplicate, archive and standardise in the source tool, and agree in writing what history and attribution will move.
Gate 2 · Architect the target
→ Objects, properties, pipelines, lifecycle rules and the reports leadership needs, fitted to your HubSpot tier.
Gate 3 · Pilot on real data
→ Roughly ten percent of production data, validated, so format and association problems surface before go-live.
Gate 4 · Staged load
→ Parents before children, with source IDs preserved so associations rebuild instead of flattening.
Gate 5 · Reconcile and cut over
→ Counts, owners and associations checked, with a rollback path kept open until stabilisation completes.

The method is set out on our CRM migration page. On one B2B SaaS engagement listed there, the audit found 35% divergence in the data before any migration ran, and more than 12,000 records were reconciled. Our Sales Hub implementations include a 30-day post-launch optimisation sprint, because go-live is where the real failure modes start.

The reporting side matters as much. For a US AI SaaS platform, we built 18+ HubSpot custom events, product-qualified lead scoring and revenue attribution per user journey, and trial-to-paid conversion improved threefold after behavioural scoring was activated. The full story is in the SaaS trial conversion case study. Because we are a Salesforce Partner as well as a HubSpot Partner, we also handle the common SaaS setup where marketing moves to HubSpot and sales stays in Salesforce.

Section 12 · Bottom Line

The Bottom Line

For a SaaS company, the best HubSpot migration service is the one that leaves you with reporting your leadership trusts. Records and templates are the easy part, and HubSpot's own tools handle much of it. The value of HubSpot consulting sits in the reporting design, the SaaS data model, the automation rebuild and the weeks after go-live. Compare providers on those, using the same scope for each, and the right choice usually becomes clear.

  1. 1

Decide which of the four layers you need: data, assets, automation, and reporting with integrations. Then ask every provider to quote the same scope.

  2. 2

Know what Smart Transfer moves from your source tool, and plan the rebuild of everything else, especially scoring and nurture logic.

  3. 3

Map your reporting needs to HubSpot tiers before you sign. Custom objects, deal revenue attribution and datasets all need Enterprise subscriptions.

  4. 4

Weight revenue operations reporting and implementation depth highest, then source-tool experience, integrations and post-migration support.

  5. 5

Use partner tiers to shortlist, accreditations to filter, and a source-tool reference call to decide.

FAQ

Frequently Asked Questions

It depends on scope more than record volume. A contact and template transfer can be quick, while a migration that rebuilds scoring, lifecycle reporting and integrations takes longer. HubSpot says most businesses it sees complete their migration within three months, and recommends a phased approach with both systems running.

For a simple move, yes. Smart Transfer moves supported records, email templates, users and lists in one direction. It does not move automation or custom objects, needs Data Hub for custom field mappings, and does not support Eloqua or Salesforce Marketing Cloud. Anything involving reporting design or integrations needs more than the tool.

No. Smart Transfer moves contacts, email templates, users and lists from Marketo and Account Engagement (Pardot), but not smart campaigns, Engagement Studio programs or automation rules. Those are rebuilt as HubSpot workflows, which need a Professional or Enterprise subscription. A rebuild is also a chance to simplify logic nobody can explain anymore.

Custom reports need Professional or Enterprise. Deal revenue attribution needs Marketing Hub Enterprise, custom objects need Enterprise, and report datasets with formula fields need Data Hub Enterprise. Forecasting needs Sales Hub or Service Hub Professional or Enterprise. Map each report you need to a tier before choosing a subscription.

Only if nobody plans for it. Original source, campaign membership, lifecycle dates and activities have to be mapped deliberately. HubSpot imports can create emails, meetings, notes and tasks but cannot update them afterwards, so history must load correctly the first time. Agree in writing what history moves before the project starts.

Yes, and many SaaS teams do. In that case HubSpot recommends the HubSpot-Salesforce integration rather than Smart Transfer, since using both creates duplicates. The integration needs a Professional or Enterprise subscription and connects one Salesforce instance per HubSpot account. Field ownership and sync rules should be designed, not left on defaults.

It is a HubSpot accreditation for partners with proven experience migrating data from legacy platforms into HubSpot. To apply, a partner must be Platinum tier or above, have at least three full-time employees and have completed migration projects in the last 12 months. It is a useful filter, not a guarantee of fit.
