Salesforce · Real Estate Investment

Investors don't lose deals on price. They lose them on follow-up.

A motivated seller who says no in March sells in September — to whoever was still calling. Acquisition teams run on cadence discipline, dispositions runs on knowing which buyer wants this street, and the principal runs on knowing cost per contract by channel. Twopir builds the Salesforce architecture that holds all three. Acquisitions, transactions and dispositions on one system.

Where Investors Stall

Where the money leaks in an investment operation

Acquisition is a volume game with a long tail, and almost every leak is in the tail. The deal you lose is rarely the one you lost on price — it is the one nobody called back.

Follow-up stops after the third attempt

A seller who is not ready today is a seller who is ready in six months. Without an automated multi-channel cadence that survives a rep leaving, the long tail is worked for a fortnight and then abandoned — and that tail is where the margin is.

Nobody can say what a contract costs by channel

Direct mail, cold calling, PPC, SMS and driving for dollars all bill separately and none of them are traced through to a signed contract. Budget gets allocated on instinct, and the channel that quietly produces the best deals gets cut first.

Dead leads stay in the pipeline forever

A property you chased last spring sold to a competitor and nothing in the system knows. The lead keeps consuming cadence steps, dialler minutes and pipeline space, and the report on conversion rate is wrong in your favour.

Dispositions is a group text and a spreadsheet

The buyer list is the second most valuable asset in the business and it usually lives in one person's phone. Nobody can answer which buyers actually closed in this zip code, at what price, on what asset type — so every deal is marketed to everyone.

Contract to close is run on memory

Title, inspection, earnest money deadlines, extensions and assignment paperwork get tracked in whatever the transaction coordinator prefers. One missed deadline is a lost earnest deposit; one missed extension is a dead deal.

Rehab budgets and timelines live outside the deal

Scope, contractor draws, budget versus actual and schedule slip sit in a project tool that does not know what the property cost or what it is projected to sell for. The principal finds out a flip is underwater at the end rather than in week three.

Our Philosophy

The pipeline is the product. Everything else supports it.

Twopir Consulting helps growing and mid-market companies solve complex CRM, integration, and business system challenges. In real estate investment that means treating the acquisition pipeline as an operating asset rather than a list: a lead has to be routed in seconds, worked on a cadence for months, closed out automatically when it dies, and attributed back to what it cost to generate.

Investing is not brokerage, and it should not be modelled like it. A brokerage represents someone else's transaction and earns a fee. An investor takes the asset onto their own balance sheet, carries it, improves it and sells it — so the system has to hold acquisition, the transaction, the project and the disposition as one continuous record, not four unrelated pipelines. Firms that also run a brokerage arm should read Salesforce for residential real estate or Salesforce for commercial real estate alongside this page, and anyone financing the deals should read Salesforce for mortgage & lending.

We implement Left Main REI where a packaged investor CRM is the right answer, and we build natively on Salesforce where it is not. The whole practice sits under Salesforce for real estate. Our standard is not a successful go-live — it is a system your acquisitions team still runs on when volume doubles.

The Lifecycle

Acquisition to disposition, stage by stage

Investment teams have their own vocabulary — motivated seller, discovery, offer, under contract, dispo, assignment, exit. We model those stages as they are actually worked, with a named owner at every step, so the handoff between acquisitions, the transaction coordinator and dispositions is a system event rather than a message.

The acquisition-to-disposition lifecycle, the role that owns each stage, what the system does, and the number the principal reads off it.

What We Build

Systems designed around how investors actually buy

Six areas decide whether an investment operation scales past the founder's memory. All six are the same problem: make the system do the remembering.

Lead Capture & Speed to Lead

Every channel into one record, routed in seconds, with the campaign and its cost attached so attribution survives all the way to a signed contract.

  • Mail, cold call, PPC, SMS, web form and list-pull capture
  • Duplicate detection across skip-traced and purchased lists
  • Routing by market, strategy or caller with an SLA clock
  • One-click dialling with outcome logged on the record
  • Campaign cost attached to the lead source for true cost per contract

Multi-Channel Cadences

The long tail is the margin. We build follow-up that runs for months across text, email, call tasks and mail, and that starts, pauses and switches on status rather than on someone remembering.

  • Sequences by day and channel, per seller segment
  • Automatic enrolment, status-triggered start, pause and exit
  • Direct mail as a cadence step, not a separate campaign
  • Consent, opt-out and quiet-hours handling built in
  • Cadence performance reported against contracts signed

Deal Analysis & Offer Discipline

The offer should come out of the record, not out of a separate spreadsheet each analyst maintains differently.

  • Comps, repair estimate and after-repair value on the deal
  • Maximum allowable offer calculated from the firm's own buy box
  • Strategy routing: wholesale, flip, BRRRR, rental or novation
  • Approval thresholds so exceptions are visible, not silent
  • Offer-to-contract and contract-to-close conversion reporting

Contract & Transaction Management

From accepted offer to funded close, with every deadline dated, owned and escalating — including the ones that cost earnest money when they slip.

  • Purchase agreements generated and e-signed from the record
  • Title, inspection, earnest-money and extension deadline tracking
  • Assignment and double-close paperwork by exit strategy
  • Title company and closing attorney coordination touchpoints
  • A transaction board the coordinator can run the week from

Dispositions & Buyer List

Turn the buyer list from a group text into a segmented, scored asset — so a deal goes to the fifteen buyers who actually buy this, not the fifteen hundred who might.

  • Buyer records with asset type, area, price band and proof of funds
  • Purchase history so ranking reflects who has actually closed
  • Deal publication to a buyer portal or list with activity tracked back
  • Offer capture, assignment and fee recorded on the deal
  • Days-to-assign and buyer-engagement reporting

Projects, Portfolio & Principal Reporting

Rehabs, build-to-rent and held rentals tracked against the deal that acquired them, with the numbers the principal actually allocates capital on.

  • Project scope, budget, draws and schedule linked to the deal
  • Budget versus actual against the projected exit
  • Cost per lead, per contract and per closed deal by channel
  • Margin and spread by strategy, market and acquisition manager
  • Held-asset, lease and portfolio tracking for rental strategies
Our Engagement Model

From a leaking pipeline to a running system

Five stages, one continuous engagement. Acquisition teams cannot stop calling while a system is built, so the rollout is designed around a live pipeline rather than a quiet weekend.

Step 01

Diagnostic Audit

We trace spend from campaign to signed contract, measure where leads go quiet, and find how much of the pipeline is dead records nobody has closed out.

Step 02

Architecture & Buy Box

We design the lead, deal, contract, transaction and buyer model, encode the buy box and offer logic, and decide with you whether a packaged investor CRM or a native build fits.

Step 03

Build Cadences & Integrate

Routing, cadences, dialler, e-signature, property data and accounting go in together — because a cadence without a dialler and a status model is just a mail merge.

Step 04

Migrate & Launch

The existing database, its history and its dead records are cleaned and migrated, then the team moves market by market with the old pipeline still callable through cutover.

Step 05

Scale & Optimize

New markets, new strategies and new acquisition channels extend the same architecture, with cadence and channel performance reviewed against cost per contract.

Connected Infrastructure

An investment platform built on Salesforce

An investment stack is six or seven tools, most of them touching the same seller. What matters is which system owns the record and which direction each fact moves.

Left Main REI

A Salesforce-native investor CRM built around the seller lead through to the disposition. It supplies the cadence engine, the deal pipeline and the data add-ons; Salesforce stays the reporting, permission and integration core underneath it.

Dialler & SMS

Calls and texts are placed from the lead record and the outcome, recording and reply are written back to it. Without this the cadence produces tasks nobody completes; with it, the caller's day is the queue and logging is a side effect.

Property & Owner Data

Licensed property data enriches the record with ownership, mortgage history, assessed value and sales history, and flags distress indicators such as pre-foreclosure, probate, tax default or vacancy so outreach is prioritised by situation rather than by list order.

County Sale Records

Matching recorded sales back to your leads closes out properties that sold to someone else automatically. It stops dead records consuming cadence steps and dialler minutes, and it tells you which competitors are buying what you were chasing.

DocuSign

The purchase agreement is generated from the deal's own numbers and sent while the acquisitions manager is still on the call with the seller. Envelope status returns to the deal, and the executed contract triggers the transaction checklist.

HubSpot

Where seller marketing and the buyer newsletter run in HubSpot while deals are worked in Salesforce, we set one owner per contact, sync engagement and campaign attribution into Salesforce, and push contract and assignment outcomes back so marketing is measured on deals rather than clicks.

QuickBooks

Acquisition cost, rehab draws, holding costs, assignment fees and sale proceeds post against the deal that generated them, so realised margin per deal is a report rather than a month-end reconstruction.

Einstein & Agentforce

Salesforce's own AI layer. On a clean lead and deal model it can rank which sellers to call first, summarise a long call history before the next dial, and draft the follow-up — all of which depend on the call outcomes actually being on the record.

Client Outcomes

What better operating infrastructure delivers

These engagements come from across Twopir's real estate practice, each labelled with the segment it was delivered in. The pattern repeats in every one of them — automate the follow-up, automate the paperwork, and make the numbers reconcile without a spreadsheet.

Why Twopir

Not a vendor. An architectural partner.

Investment firms don't struggle because they lack a CRM. They struggle because acquisition, the transaction, the project and the disposition were never designed as one record.

We design for the long tail, not the hot lead

Any system handles a seller who wants to sell today. The architecture that matters is the one still working a lead in month seven — which means cadences that survive rep turnover, status models that pause and resume, and no manual step anywhere in it.

We make cost per contract answerable

Attribution has to survive from the campaign that generated the lead through to the contract that got signed and the spread that was realised. That is a data-model decision made at the start, not a report written at the end.

We treat the buyer list as an asset

Dispositions is half the business and is usually the least systematised half. Segmenting buyers by what they have actually closed — asset type, area, price band — is what turns a mass blast into a two-call assignment.

We are not tied to one investor CRM

We implement Left Main REI, and we build natively on Salesforce. Because we do not resell either, the recommendation comes from your volume, strategies and reporting needs rather than from our licence economics.

We build for scale, not just launch

New markets, new strategies and a growing team should extend the same architecture. What you launch should still hold when the firm is running wholesale, flips and rentals side by side out of one pipeline.

Common Questions

Answers before the first call

Most small operations should not. A purpose-built investor CRM gives you cadences, a deal pipeline and seller data on day one, and below a certain volume that is the right call. Salesforce earns its place when the business has outgrown one pipeline: several entities or funds, a rental portfolio alongside the wholesale desk, an in-house lending arm, investor reporting, or a data model the packaged product will not bend to. It is also the right answer when the firm needs everything in one platform rather than three that partly overlap.

Both. Left Main REI is a Salesforce-native investor CRM and we implement, configure and extend it — that is a shorter path to a working acquisition engine and it is what we recommend for most teams. Where a firm has requirements the package does not cover, we build those as custom objects and automation alongside it, or design the whole model natively. The decision belongs in the diagnostic, not in a sales conversation, and we will tell you when the package is the cheaper right answer.

By making enrolment and exit automatic and status-driven rather than manual. A lead enrols on creation, the cadence starts when the status reaches a defined point, and it pauses, switches or exits when the status changes again — so a rep changing one picklist value is the only human action in the loop. The steps themselves mix SMS, email, call tasks and direct mail on a day schedule, and consent, opt-out and quiet hours are enforced centrally so compliance is not left to the individual caller.

Yes, by matching recorded county sales against the properties in your database and closing the matching leads automatically. It is worth doing for two reasons that compound: dead records stop consuming cadence steps, dialler minutes and mailing spend, and your conversion rate stops being flattered by leads that were never winnable. The same match also tells you which competitors are buying in your markets and which lead sources produce properties that end up selling at all.

The lead has to carry its source and the campaign's cost from the moment it is created, and that attribution has to survive conversion into a deal, a contract and a closed exit. Most operations lose it at the first conversion, which is why they can report cost per lead but not cost per contract. We design the model so the source travels with the record, then report spend against contracts signed and spread realised — which regularly reverses which channel a firm thought was its best.

Yes, and it should. Acquisition is common to all four — the same seller lead, the same cadence, the same offer conversation — and the strategy is a decision made at underwriting, not a separate pipeline. What differs downstream is the exit: an assignment, a renovation and resale, a refinance and hold, or a straight rental. We model strategy as a field that routes the deal to the right post-contract path, so one acquisition engine feeds all of them and the principal can compare margin by strategy from one report.

Yes, and the communication history is the part worth insisting on. An old lead with three years of call notes and text threads is a warm record; the same lead without them is a cold list entry your team will treat as new. We migrate leads, properties, deals and their activity history, de-duplicate across the purchased lists that inevitably overlap, and mark which records are genuinely dead rather than carrying the whole database across as live pipeline.
