Challenge vs. Solution

Six Billing Workflow Failures That Eroded Accuracy — and Six Fixes That Eliminated Them

✕ Before — The Challenges 6 Problems
Cash receipts were delayed by days after client payments were collected — the back-office had no automated trigger to create or apply them in Salesforce.
Payments were routinely misapplied to the wrong Matter or billing record, causing reconciliation errors and requiring time-consuming correction cycles.
No real-time visibility into outstanding balances per Matter — finance staff had to manually query records to determine what each client owed.
High-volume manual data entry across all Matter accounts introduced frequent reconciliation errors and put the firm's financial records at risk of inaccuracy.
Fragmented workflows between the payment gateway and Salesforce meant staff had to re-enter transaction data manually, doubling workload and error exposure.
No structured accounting environment capable of supporting the scale of the firm's legal financial operations — the existing setup could not handle retainers, installments, or recurring billing at volume.
✓ After — What We Built 6 Fixes
Automatic cash receipt creation fires the instant a payment is confirmed — Authorize.Net triggers a Salesforce event that generates and applies the receipt to the correct Matter record within seconds.
Matter-level invoice matching is fully automated — the portal links every payment to the corresponding billing record in Salesforce, eliminating misapplication and reconciliation rework.
Real-time Salesforce dashboards give the finance team live payment status and outstanding Matter balances — no manual lookups, no waiting for a report cycle to finish.
PCI-compliant tokenized payment processing via Authorize.Net eliminates manual card data handling — reducing data entry to near zero and protecting the firm's compliance posture.
A three-layer integration model — portal, Authorize.Net, and Salesforce — replaces every manual handoff between systems, with Apex REST APIs ensuring every transaction flows without human intervention.
Recurring billing and retainer management built directly into the portal — clients can set up automatic payment cycles for retainer agreements and installment plans, ensuring consistent cash flow without follow-up calls.

What We Did

Five Phases That Built the Integration End to End

Discovery

Mapped Every Billing Workflow Gap Before Writing a Line of Code

We audited Weinberger Law Group's end-to-end payment lifecycle — from client invoice generation through cash receipt reconciliation — identifying six critical failure points where manual intervention introduced delay and error. The discovery output defined the exact data model, Matter-to-payment linkage logic, and integration touchpoints required before any build work began.

Portal Build

Built a Secure, Branded Customer Payment Portal with Dual Payment Methods

We designed and built a dedicated customer-facing portal that allows Weinberger Law Group's clients to view outstanding Matter invoices and pay via credit card or e-check through a fully PCI-compliant interface. The portal handles tokenized card submission, invoice selection, and amount confirmation — eliminating all manual payment collection calls and paper-based billing processes.

Integration

Connected Authorize.Net to Salesforce via a Three-Layer Apex REST Architecture

We built the core integration using Apex and REST APIs to create a real-time data pipeline between the customer portal, the Authorize.Net gateway, and Salesforce CRM. Every confirmed transaction triggers an automated event chain: the gateway posts the result, our Apex layer receives and validates it, and Salesforce immediately creates the cash receipt and applies it to the correct Matter and billing record — with no human in the loop.

Automation

Automated Cash Receipt Creation, Matter Matching, and Recurring Billing

We built the automated cash receipt workflow in Salesforce so that every payment — whether one-time, retainer, or installment — results in an accurate, timestamped record applied to the correct Matter with zero manual allocation steps. We also configured Authorize.Net's recurring billing engine for the firm's retainer clients, enabling automatic charge scheduling with full Salesforce visibility into billing cycle status.

Delivered Real-Time Dashboards and Handed the Team a System They Own

We built Salesforce dashboards giving the firm's finance leadership live visibility into payment status, outstanding Matter balances, and client payment behaviour — enabling same-day decisions on collections and billing disputes. We then ran structured knowledge transfer sessions with the finance and operations teams so they could manage portal configurations, billing cycles, and Salesforce reporting without depending on us for day-to-day operations.

Before this portal, processing a client payment meant manual entry, a phone call, a receipt typed up by hand, and then someone hunting through Salesforce to apply it to the right Matter. Now the client pays online and everything else happens automatically — the receipt is created, the Matter is updated, and our finance team can see it in real time. It changed the way our back office operates.
