Six Billing Workflow Failures That Eroded Accuracy — and Six Fixes That Eliminated Them
Five Phases That Built the Integration End to End
Mapped Every Billing Workflow Gap Before Writing a Line of Code
We audited Weinberger Law Group's end-to-end payment lifecycle — from client invoice generation through cash receipt reconciliation — identifying six critical failure points where manual intervention introduced delay and error. The discovery output defined the exact data model, Matter-to-payment linkage logic, and integration touchpoints required before any build work began.
Built a Secure, Branded Customer Payment Portal with Dual Payment Methods
We designed and built a dedicated customer-facing portal that allows Weinberger Law Group's clients to view outstanding Matter invoices and pay via credit card or e-check through a fully PCI-compliant interface. The portal handles tokenized card submission, invoice selection, and amount confirmation — eliminating all manual payment collection calls and paper-based billing processes.
Connected Authorize.Net to Salesforce via a Three-Layer Apex REST Architecture
We built the core integration using Apex and REST APIs to create a real-time data pipeline between the customer portal, the Authorize.Net gateway, and Salesforce CRM. Every confirmed transaction triggers an automated event chain: the gateway posts the result, our Apex layer receives and validates it, and Salesforce immediately creates the cash receipt and applies it to the correct Matter and billing record — with no human in the loop.
Automated Cash Receipt Creation, Matter Matching, and Recurring Billing
We built the automated cash receipt workflow in Salesforce so that every payment — whether one-time, retainer, or installment — results in an accurate, timestamped record applied to the correct Matter with zero manual allocation steps. We also configured Authorize.Net's recurring billing engine for the firm's retainer clients, enabling automatic charge scheduling with full Salesforce visibility into billing cycle status.
Delivered Real-Time Dashboards and Handed the Team a System They Own
We built Salesforce dashboards giving the firm's finance leadership live visibility into payment status, outstanding Matter balances, and client payment behaviour — enabling same-day decisions on collections and billing disputes. We then ran structured knowledge transfer sessions with the finance and operations teams so they could manage portal configurations, billing cycles, and Salesforce reporting without depending on us for day-to-day operations.
Before this portal, processing a client payment meant manual entry, a phone call, a receipt typed up by hand, and then someone hunting through Salesforce to apply it to the right Matter. Now the client pays online and everything else happens automatically — the receipt is created, the Matter is updated, and our finance team can see it in real time. It changed the way our back office operates.

Unified, secure payment portal replaced fragmented, manual billing processes
Clients pay credit card or e-check through a single PCI-compliant interface — no paper billing, no phone-based payment collection, no data re-entry by staff.
Manual entry errors across all Matter accounts — reconciliation is now automated end-to-end
Automated invoice matching and cash receipt application in Salesforce means billing records are accurate the moment payment is confirmed, with no manual correction cycles required.
Cash receipt generation post-payment — down from days of back-office processing
The Authorize.Net-to-Salesforce integration fires immediately on payment confirmation, creating and applying cash receipts to Matter billing records without any human trigger.
Finance leadership visibility into outstanding Matter balances and client payment behaviour
Salesforce dashboards give the firm's finance team live data on payment status, overdue balances, and collections risk — enabling faster decisions and proactive follow-up without manual reporting cycles.
Self-service payment availability — clients pay on their own schedule, reducing collections workload
The self-service portal reduced overdue accounts and collections calls by enabling clients to manage their own payment schedules, including retainer and installment arrangements, without staff involvement.
Ownership — finance and ops teams manage the system independently after structured handover
Twopir delivered knowledge transfer sessions covering portal configuration, Authorize.Net billing cycles, and Salesforce dashboard management — the team runs day-to-day operations without ongoing consultant dependency.
