Challenge vs. Solution

Six Manual Bottlenecks — and the Automation That Replaced Them

✕ Before — The Challenges 6 Problems
Invoices were built one at a time, by hand, from every approved Quote.
No system enforced billing frequency — weekly, monthly, and bi-monthly cycles were tracked manually.
Duplicate invoices were a recurring risk, with no safeguard in place to catch them.
Finance had no scalable way to batch-process invoices as approved Quote volume grew.
Community users had no structured, role-based access to Salesforce data.
Security gaps left data visibility uncontrolled across internal and external users.
✓ After — What We Built 6 Fixes
We built a Batch Apex class that generates invoices automatically from every approved Quote.
We encoded billing frequency logic in Apex — weekly, monthly, and bi-monthly cycles now run on their own.
We added duplicate-prevention logic so no Quote is ever billed twice.
We designed a bulk-safe batch architecture with error handling that keeps processing without stopping.
We stood up a Salesforce Community with defined profiles, users, and permission sets.
We implemented a full security model — org-wide defaults, sharing rules, and validation rules across every layer.

What We Did

Five Phases From Discovery to Community Launch

Discovery

Mapped Invoice Criteria Before Writing a Line of Apex

We reviewed the Quote-to-Invoice process end to end and identified the exact conditions an invoice needed to meet: approved status, Auto Bill enabled, PO number present, and a defined billing frequency. We used this to scope a bulk-safe batch architecture up front.

Process MappingRequirements AnalysisArchitecture Blueprint
Automation

Built the Batch Apex Invoice Engine

We developed a Batch Apex class that reads approved Quotes and creates the matching Invoice and Invoice Line Items automatically. The job runs on a schedule and processes records in bulk without stopping on individual errors.

Data Migration

Cleaned and Mapped a Full Year of Quote Data

We imported and validated existing Quote records using a structured reference sheet before go-live. Every record was checked for accuracy so the new engine wasn't generating invoices from bad data.

Security

Designed the Community Security Model

We built profiles, permission sets, and sharing rules that control exactly what each internal and external user can see. Org-wide defaults were set to restrict access by default, then opened up deliberately by role.

Community Launch

Delivered a Dynamic Experience Cloud Portal

We built dynamic pages and components inside Salesforce Community so each user gets a role-appropriate view of their data. Validation rules and roll-up summary fields keep the data clean as new records come in.

We used to worry about double-billing every single cycle. Now the batch job checks status, PO, and frequency before it creates anything — so invoicing just happens on its own.

Key Outcomes

What Changed — In Numbers and in Practice

74/yr

Invoices generated automatically across three billing cycles

Weekly, monthly, and bi-monthly Quotes now bill themselves on schedule.

0

Duplicate invoices since the automation went live

Built-in checks stop a Quote from ever being billed twice.

1 system

Batch Apex now runs the full Quote-to-Invoice-to-Line-Item chain

One process replaces what used to be several manual steps.

100%

Bulk-safe processing across every batch run

An error on one record no longer stops the rest of the batch from completing.

Full

Role-based Community access replaces informal visibility

Internal and external users now see only the data their role permits.

1 org

Finance and Operations now run on one connected, secure Salesforce environment

Invoicing and community access were delivered as a single, unified system rather than two disconnected projects.
