From Manual Invoicing to Zero Duplicates — Salesforce Batch Apex
A US mid-market manufacturing company was creating every invoice by hand from approved Quotes, with no safeguard against double-billing. We built a bulk-safe Salesforce Batch Apex engine that generates invoices automatically by billing frequency, and layered in a fully secured Salesforce Community for role-based access.
Six Manual Bottlenecks — and the Automation That Replaced Them
Five Phases From Discovery to Community Launch
Mapped Invoice Criteria Before Writing a Line of Apex
We reviewed the Quote-to-Invoice process end to end and identified the exact conditions an invoice needed to meet: approved status, Auto Bill enabled, PO number present, and a defined billing frequency. We used this to scope a bulk-safe batch architecture up front.
Built the Batch Apex Invoice Engine
We developed a Batch Apex class that reads approved Quotes and creates the matching Invoice and Invoice Line Items automatically. The job runs on a schedule and processes records in bulk without stopping on individual errors.
Cleaned and Mapped a Full Year of Quote Data
We imported and validated existing Quote records using a structured reference sheet before go-live. Every record was checked for accuracy so the new engine wasn't generating invoices from bad data.
Designed the Community Security Model
We built profiles, permission sets, and sharing rules that control exactly what each internal and external user can see. Org-wide defaults were set to restrict access by default, then opened up deliberately by role.
Delivered a Dynamic Experience Cloud Portal
We built dynamic pages and components inside Salesforce Community so each user gets a role-appropriate view of their data. Validation rules and roll-up summary fields keep the data clean as new records come in.
We used to worry about double-billing every single cycle. Now the batch job checks status, PO, and frequency before it creates anything — so invoicing just happens on its own.

Invoices generated automatically across three billing cycles
Weekly, monthly, and bi-monthly Quotes now bill themselves on schedule.
Duplicate invoices since the automation went live
Built-in checks stop a Quote from ever being billed twice.
Batch Apex now runs the full Quote-to-Invoice-to-Line-Item chain
One process replaces what used to be several manual steps.
Bulk-safe processing across every batch run
An error on one record no longer stops the rest of the batch from completing.
Role-based Community access replaces informal visibility
Internal and external users now see only the data their role permits.
Finance and Operations now run on one connected, secure Salesforce environment
Invoicing and community access were delivered as a single, unified system rather than two disconnected projects.
