From Manual Word Docs to One-Click Delivery — 90% Faster Legal Document Generation

We identified every document type the firm sent to clients — fee statements, retainers, payment summaries, engagement letters, and matter reports — and documented exactly which Salesforce objects and fields each one needed. This gap analysis determined which records required active-only filtering to prevent closed-matter data from contaminating billing documents.

We designed five professionally formatted Word-based Conga templates — each mapped directly to the relevant Salesforce objects — and configured merge fields such as {{Balance_Due}}, {{Matter_Status}}, and {{Hours_Billed}} to pull real-time values at the moment of generation. Attorney signature blocks, firm branding, and compliance disclaimers were embedded into every template.

We configured each Conga Action with SOQL queries that filter by Status = 'Active' and Invoice_Status__c = 'Open', ensuring closed, voided, and inactive matters are excluded from every document. Multi-object data merges pull from Contact, Matter, Invoice, and Payment records simultaneously into one clean output.

We built five matching Conga email templates — one per document type — that auto-populate client name, matter name, amount due, and attorney details using the same live Salesforce merge fields. When staff trigger the Conga Action, the generated PDF is automatically attached to the pre-written, personalised email and sent from the attorney's Salesforce-connected address in a single operation.

We surfaced Conga Actions as custom buttons on Matter and Contact page layouts so any staff member — not just admins — can generate and send the correct document in one click. Every generated document is stored in Salesforce Files, linked to the relevant record, and timestamped automatically, creating a complete compliance-ready audit trail without any manual effort.
